Records Management

To introduce the concept of records management to an organisation and allow them to budget for future projects we will be selling them a Data and Records Management Audit.  It is specifically designed to provide a systematic review of how your hard and soft copy records are currently managed.  Through its implementation your organisation can adopt best practices in Records Management that supports their business objectives.  Many organisations retain documents indefinitely.  The absence of a proper policy leads to indefinite retention of vast quantities of unused documents which is directly linked to inefficiencies, increased costs and poor administrative practice.  This solution creates an environment of effective information management that is efficient and meets regulatory and legislative requirements.

There have been several highly publicised data breaches in the media recently. The public and the media seem to find this a large area of interest casting widespread condemnation on the offending company. Several organisations have all been brought to the attention of the Data Commissioner and the media. Organisations, especially after a data breach, need to address the reasons it happened internally. The impact of these security breaches can be clearly seen and felt throughout all levels of organisation. It can range from, but is not limited to, furious clients and stakeholders, negative publicity, tarnished reputation, public embarrassment, investigations, lawsuits, fines and penalties, financial losses and a waste of valuable resources. As an organisation you may need and want to change the culture or implement “cultural transformation” due to a breach in data protection. We can help.

Electronic Document and Records Management System

product pic3To advise organisations on software solutions they should use to manage their Electronic Document and Records. The paperless office is still a myth.  Some adventurous records and information managers have started implementing Electronic Document and Records Management System (EDRMS), which they are hoping in the long run will manage their electronic records and reduce the amount of paper, therefore getting a huge return on investment. The starting point for all EDRMS is to get your paper system organised so you will have a blueprint of what your organisation needs going forward.  Choosing an EDRMS is a daunting task.  Understanding the criteria that your organisation use to select and evaluate an EDRMS is of vital importance as the investment in the solution and the long-term financial and reputational cost can be vast.

Using commercial companies may be more cost effective than carrying out this work in-house.  It may also solve a space issue quickly.  But before you consider doing any of this you should examine what you are retaining and why, and establish whether you are complying with all of the legislation.
